Use a screen reader to organize your life with Teams for your personal life

This article is for people with visual impairments who use a screen reader program with Office products and is part of the Office Accessibility content set. For more general help, see Microsoft Support home.

Use Teams for personal use with your keyboard and a screen reader to create a group project. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques. You'll learn how to set up a group chat, share files and tasks, and create group events.

Notes: 

  • New Microsoft 365 features are released gradually to Microsoft 365 subscribers, so your app might not have these features yet. To learn how you can get new features faster, join the Office Insider program.

  • When you sign in to Microsoft Teams with your personal account, you might find that there are fewer functions than on your business account and some additional features.

In this topic

Start a group chat

Do you share a hobby with some of your friends? Are you organizing a surprise birthday party for a family member and want to keep it a secret? Create a dedicated chat group to easily communicate with the group members.

  1. While signed in with your Teams for personal use account, do one of the following to start a new chat:

    • Press Ctrl+2 to move the focus to the Chat tab. Press Shift+Tab until you hear "New chat," and press Enter.

    • Press Ctrl+N.

  2. A pane for the new chat opens, and the focus moves to the To: text field. Type the name, email address, or phone number for the first person you want to add to the group. The list of contacts is updated as you type. Press the Down arrow key until you hear the details of the person, and then press Enter. Repeat this step for each person you want to add to the group.

  3. To name the group, press the Right or Down arrow key until you hear "Add group name," and press Enter. Then type a name for the group.

  4. To type a message to the group, press the Down arrow key until you hear "Type a new message," and then type your message.

  5. Once you're done, press Enter or Ctrl+Enter to send your message.

Share files

You can share files, for example, PDF documents, Excel worksheets, or images with your group.

  1. Open the group chat you want to share a file with.

  2. Press the Tab key until you hear "Actions for new message," followed by the name of the button currently in focus.

  3. Press the Right, Left, Up or Down arrow key until you hear "Attach files," and press Enter. You hear: "Upload from my computer."

  4. Press Enter. The Windows Open dialogbox opens. The focus is on the File name: text field. Type the file name or use the Tab key and arrow keys to navigate to the file you want to share, and then press Enter.

  5. If needed, type a message to accompany the file.

  6. When you're ready, press Ctrl+Enter to send the file to the entire group.

    Tip: To access all files sent in the selected group chat, press the Tab key or Shift+Tab until you hear "Add a tab," press the Left or Up arrow key until you hear "Files, tab item," and press Enter. The list of files opens, and the focus is on the first file on the list. To browse the list, press the Down arrow key.

Create a new task list

If you're a planning a group event or happening, for example, it's useful to have a task list and share the tasks between the group members. You can create a new task list, add tasks to it, and assign the tasks to group members. You can also set a due date and priority for each task on the task list.

  1. Open the group chat you want to create a task list for.

  2. Press the Tab key or Shift+Tab until you hear "Add a tab," and press Enter. The Add a tab dialog box opens.

  3. Press the Tab key until you hear "Tasks," and then press Enter. The Tasks dialog box opens. The focus is on the Tab name text field.

  4. Type a descriptive name for the task list, press the Tab key until you hear "Task dialog, Save," and then press Enter.

  5. An empty task list opens as a new tab in the selected group chat. The focus is on the text field for the first task. Type a short description for the first task.

  6. To assign the new task to a group member, press the Tab key until you hear "Assignment picker," and press Enter. Start typing the name or email address of the group member you want to assign the task to. The list is updated as you type. Press the Tab key or Down arrow key until you hear the name you want, and then press Enter.

  7. To set a priority for the task, press the Tab key until you hear "Priority picker," and press Enter. Press the Up or Down arrow key until you hear the priority you want, and then press Enter.

  8. To set a due date for the task, press the Tab key until you hear "Date picker," and press Enter. Use the arrow keys to navigate to the date you want, and then press Enter. Alternatively, you can type the due date.

  9. When you're ready, press the Tab key until you hear "Create task," and press Enter. The task is created and the focus moves to an empty row for another new task. You can now start creating a new task as instructed in steps 5-9.

Use a task list

You can check and edit the task list and mark tasks off as they are completed to keep things organized.

  1. Open the group chat whose task list you want to use.

  2. Press the Tab key or Shift+Tab until you hear "Add a tab," press the Left or Up arrow key until you hear the name of the task list you want, and then press Enter. The list of tasks opens.

  3. Press the Down arrow key until you hear the task you want.

  4. To edit the task, press the Right or Down arrow key until you hear the name of the task followed by "More options, Select menu," and press Enter. A context menu opens. From the menu, you can complete a task, change the assignee, priority, or due date, or delete the task.

    For example, to complete the task, press the Up arrow key until you hear "Progress," and press Enter. Press the Up or Down arrow key until you hear "Completed," and press Enter.

Create a group event 

To make the long-awaited get-together happen, use the Calendar tab in Teams for personal use and schedule a meeting.

  1. Press Ctrl+3 to move the focus to the Calendar tab.

  2. To start creating the event invitation, do one of the following:

    • Press Alt+Shift+N.

    • Press the Tab key until you hear "New meeting," and press Enter.

  3. The Details window for the new event opens. The focus is on the text field for the event title. Type a descriptive title for your event.

  4. To set the start date for the event, press the Tab key until you hear "Start date," and press Enter. Use the arrow keys until you hear the date you want, and then press Enter.

  5. To set the start time, press the Tab key until you hear "Start time," and press Enter. Use the Up or Down arrow key until you find the time you want, and press Enter.

  6. To set the end date, press the Tab key until you hear "End date," and press Enter. Use the arrow keys until you hear the date you want, and then press Enter.

  7. To set the end time, press the Tab key until you hear "End time," and press Enter. Use the Up or Down arrow key until you find the time you want, and press Enter.

  8. If you want to make the event a recurring one, press the Tab key until you hear "Repeat," and then press Alt+Enter. Press the Down arrow key until you hear the option you want, and press Enter.

  9. To add a location for the event, press the Tab key until you hear "Add location," and type the location info, for example, the name of the venue.

  10. To add a description for the event, press the Tab key until you hear "Type details for this new meeting," and type the info you think is useful to the invitees.

  11. When you're ready, to save the event, press Shift+Tab until you hear "Save button," and press Enter. You hear: "Meeting created." The focus is on the Copy link button.

  12. Press Enter. The link to the meeting is copied to the Clipboard. You can now paste the link to a group chat or an email message and send it.

Start a group chat

Group chats are a great way of organizing people for activities and tasks. You can have different groups for each project or activity and share files and other information between group members.

  1. Swipe left or right until you hear "Chat, tab," and double-tap the screen.

  2. Swipe left until you hear "New chat," and double-tap the screen.

  3. Swipe right until you hear "New group chat," and double-tap the screen.

  4. Use the on-screen keyboard to enter the group name. When you're done, swipe right until you hear "Done," and double-tap the screen.

  5. Enter the name, email address, or phone number of the first participant in the group chat. When you've finished entering the name, email address, or phone number, swipe left until you reach the list of suggestions, then swipe left or right to navigate the list of suggestions and double-tap the one you want to add to your group chat.

  6. Once you've finished adding all the names, email addresses, or phone numbers of participants, swipe right until you hear: "Type a message." Enter your message using the on-screen keyboard. If you are inviting people to join Microsoft Teams, this message is sent along with their invitation.

Share a document

  1. Open the group chat you want to share the file with.

  2. Swipe right until you hear "Dashboard," and double-tap the screen.

  3. Swipe right until you hear "Upload a file," and double-tap the screen. The Files view of the group chat opens, listing the files uploaded to the group.

  4. Swipe right until you hear "Upload files," and double-tap the screen.

  5. Locate the file you want to upload and double-tap the screen. The file is uploaded and a notification of the file being shared is added to the Chat tab of the group chat.

Create and use a task list

Having a task list where everyone can mark things off as they are completed helps keeping things organized. You don't want to forget anything crucial when you go camping.

  1. Open the group chat where you want to create a task list.

  2. Swipe right until you hear "Dashboard," and double-tap the screen.

  3. Swipe right until you hear "Create a task list," and double-tap the screen. Then swipe right until you hear "Cancel," and double-tap the screen. You hear: "Task list, new shared list button." Double-tap the screen.

    Note: Once you have added a task list, Create a task disappears from the Dashboard tab, and is replaced by the Tasks heading. To open the Task Lists view, swipe right until you hear "Tasks," swipe right one more, and double-tap the screen. There you can find the New shared list button.

  4. You hear: "Type a task list title." Use the on-screen keyboard to write the title of your list, for example, "Camping preparations." When you are done, swipe down-then-up. You hear: "Done." Double-tap the screen to close the keyboard and move the focus to the new list.

  5. To add a task to the list, swipe left until you hear "Add a task, text field" and double-tap the screen. Use the on-screen keyboard to write the task name or description, for example, "Check that all tent parts are there." When you are done, swipe right until you hear, "Done," and double-tap the screen.

  6. The task is added to the list and the focus stays in the "Add a task" edit box. To add more tasks, write them as described in step 5. When you are done with adding tasks, tap the top half of the screen to close the keyboard.

  7. The task list can now be opened from the Dashboard tab under the Tasks heading. To mark a task as done, swipe right until you hear "Not checked," followed by the task title, and double-tap the screen. Completed tasks move to the end of the list.

Create a group event

  1. Open the group chat you want to create the event for.

  2. Swipe right until you hear "Dashboard," and double-tap the screen.

  3. Swipe right until you hear "Add an event," and double-tap the screen. The Calendar view of the group chat opens, listing group events.

  4. Swipe right until you hear "New meeting," and double-tap the screen.

  5. Use the on-screen keyboard to enter the title for the event.

  6. Swipe right to set the event date and time. If you want to set the event length in complete days, swipe right until you hear "All day, switch button," and double-tap the screen.

  7. To set the start time for the event, swipe right until you hear "Start," followed by the currently set start date, and double-tap the screen. Swipe right until you hear the first part of the start date. Double-tap and drag your finger up or down to adjust the day part of the date picker. You feel the device vibrate for each increment you adjust the day backwards or forwards. In a similar way, swipe right once and adjust the hour, then swipe right again and adjust the minutes of the start time.

    Note: If you selected the "All day" option in step 6, the three fields of the date picker are Day, Month, and Year instead of Day, Hour, and Minute.

  8. To set the end time of the event, swipe right until you hear "End," followed by the currently set end date, and double-tap the screen. Swipe right to choose the duration of the event, and double-tap the screen when you hear the one you want, or when you hear: "Custom end time." If you selected the "All Day" option in step 6 or picked a custom end time, swipe right until you hear the first part of the date picker and pick the ending date and time as described in step 7.

  9. Swipe right until you hear "Repeat," and double-tap the screen if you want to have the event repeat. Swipe left or right until you hear the repeat option you want and double-tap the screen to confirm it.

  10. Swipe right until you hear "Location," and double-tap to edit the field. Use the on-screen keyboard to enter the location of your event.

  11. Swipe right until you hear "Description," and double-tap the screen. Swipe right until you hear "Multi-line text field," and double-tap the screen to edit the event description. Once you're done, swipe left until you hear "Done," and double-tap the screen.

  12. Once you've added all the event details, create the event by swiping left until you hear "Done," and double-tap the screen.

Start a group chat

  1. In Microsoft Teams for Android, swipe left or right until you hear "Chat, tab," and double-tap the screen.

  2. Swipe left until you hear "New chat, button" and double-tap the screen.

  3. Swipe right until you hear "New group chat," and double-tap the screen.

  4. Use the on-screen keyboard to enter the group name. When you're done, swipe down-then-up. You hear: "Done." Double-tap the screen.

  5. The focus moves to the field where you can enter the name, phone number, or email address of the first participant in the group chat. Double-tap the screen to open the keyboard.

  6. Enter the name, phone number, or email address, swipe down-then-left to close the keyboard, and swipe right until you reach the list of suggestions. Then swipe right or left to navigate the list of suggestions and double-tap the one you want to add to your group chat.

  7. To add more people, repeat step 6.

  8. Once you've finished adding all the names, email addresses, or phone numbers of participants, swipe down-then-left to close the keyboard, and swipe right until you hear: "Type a message, edit box." Double-tap the screen and enter your message using the on-screen keyboard. If you are inviting people to join Microsoft Teams, this message is sent along with their invitation.

  9. After writing your message, swipe down-then-left to close the keyboard. Then swipe left until you hear: "Send message, button." Double-tap the screen. The focus moves to the Type a message edit box in the new group chat, so you can immediately start chatting.

Share a file

You can share files in your groups, for example, a photo from last year's trip showing the campsite, or an Microsoft Excel spreadsheet with details of the trip's shared expenses.

  1. Open the group chat where you want to share the file.

  2. Swipe left until you hear "Button, compose options," and double-tap the screen.

  3. Swipe right until you hear "Attach button," and double-tap the screen. The Recent view opens, listing the recently opened files on your phone.

  4. Swipe right until you hear "Recent files on phone," indicating the file list starts here. Then keep swiping right until you reach the file you want to upload, and double-tap the screen.

    Tip: If you want the filter the list by file type, instead swipe right until you hear "Images," "Videos," "Audio," or "Documents," and double-tap the screen. Then swipe right until you hear "Files on phone" and locate the file you want as described above.

  5. When you hear "File upload completed," swipe left until you hear: "Send message button." Double-tap the screen to share the file. A notification of the file being shared is added to the group chat. The file can now be opened from the Dashboard tab under the Files heading.

Create and use a task list

Having a task list where everyone can mark things off as they are completed helps keeping things organized. You don't want to forget anything crucial when you go camping.

  1. Open the group chat where you want to create a task list.

  2. Swipe right until you hear "Dashboard," and double-tap the screen.

  3. Swipe right until you hear "Create a task," and double-tap the screen. Then swipe right until you hear "Cancel," and double-tap the screen. You hear: "Task list, new shared list button." Double-tap the screen.

  4. You hear: "Type a task list title." Use the on-screen keyboard to write the title of your list, for example, "Camping preparations." When you are done, swipe down-then-up. You hear: "Done." Double-tap the screen to close the keyboard and move the focus to the new list.

  5. To add a task to the list, swipe left until you hear "Add a task, edit box," and double-tap the screen." Use the on-screen keyboard to write the task name or description, for example, "Check that all tent parts are there." When you are done, swipe down-then-up. You hear: "Done." Double-tap the screen.

  6. The task is added to the list and the focus stays in the "Add a task" edit box. To add more tasks, write them as described in step 5. When you are done with adding tasks, swipe down-then-left to close the keyboard.

  7. The task list can now be opened from the Dashboard tab under the Tasks heading. To mark a task as done, swipe right until you hear "Not checked," followed by the task title, and double-tap the screen. Completed tasks move to the end of the list.

Create a group event

Creating group events in Microsoft Teams for Android helps everyone remember what's coming up.

  1. Open the group chat you want to create the event for.

  2. Swipe right until you hear "Dashboard," and double-tap the screen.

  3. Swipe right until you hear "Add an event," and double-tap the screen. The Group Calendar view of the group chat opens, listing group events.

    Note: Once you have added an event, Add an event disappears from the Dashboard tab, and is replaced by the Events heading. To open the Group Calendar view, swipe right until you hear "Events," swipe right one more, and double-tap the screen.

  4. Swipe right until you hear "Schedule group event," and double-tap the screen.

  5. Use the on-screen keyboard to enter the title for the event, then swipe down-and left to close the keyboard.

  6. Swipe right to set the event date and time. If you want to set the event length in complete days, swipe right until you hear "All day, switch," and double-tap the screen.

  7. To set the start date for the event, swipe right until you hear "Start," followed by the currently set start date, and double-tap the screen. Swipe right on the calendar grid until you find the date you want, and double-tap the screen to select it. Then swipe down-then-up to move the focus to the OK button, and double-tap the screen.

  8. To set the start time, swipe right once. You hear the current start time. Double-tap the screen. You hear: "Double-tap to select hours." Swipe down-then-up, then swipe left until you hear "Switch to text input mode," and double-tap the screen. Swipe right until you hear the current hours, followed by: "Edit box for hours." Use the on-screen number keyboard to type the hours number, then swipe down-and-up and double-tap the screen to move on to the minutes. Type the minutes number, then swipe down-and-up and double-tap the screen. Swipe down-then-up to reach the OK button, and double-tap the screen.

  9. To set the end date, swipe right until you hear "End," followed by the currently set end date, and double-tap the screen. Swipe right on the calendar grid until you find the date you want, and double-tap the screen to select it. Then swipe down-then-up to move the focus to the OK button, and double-tap the screen.

  10. To set the end time, swipe right once. You hear the current end time. Double-tap the screen. You hear: "Double-tap to select hours." Swipe down-then-up, then swipe left until you hear "Switch to text input mode," and double-tap the screen. Swipe right until you hear the current hours, followed by: "Edit box for hours." Use the on-screen number keyboard to type the hours number, then swipe down-and-up and double-tap the screen to move on to the minutes. Type the minutes number, then swipe down-and-up and double-tap the screen. Swipe down-then-up to reach the OK button, and double-tap the screen.

  11. Swipe right until you hear "Location," and double-tap the screen. Use the on-screen keyboard to enter the location of your event.

  12. Swipe right until you hear "Repeat Never," and double-tap the screen if you want to have the event repeat. Swipe left or right until you hear the repeat option you want and double-tap the screen to confirm it.

  13. Swipe right until you hear "Description," and double-tap the screen. Use the on-screen keyboard to write the event description. Once you're done, swipe down-then-left to close the keyboard, swipe left until you hear "Submit," and double-tap the screen.

  14. Once you've added all the event details, swipe up-then-down, swipe right until you hear "Submit," and double-tap the screen. The focus moves to the Group Calendar view where you can find your event. The event can now be opened from the Dashboard tab under the Events heading.
