In Visio you can customize the appearance of shapes by changing their text colors, font, fill colors and patterns, line weight and style, or shadow.

Apply a color, gradient, and line style all at once

The quickest way to add color to a shape is with the menu of preset Shape Styles.

1. Select the shape you want to change.

2. On the toolbar, go to Home > Shape Styles:

   

3. Open the gallery of styles and select an option, all of which match your drawing's color theme. Options include different colors, gradients, and line styles.

Apply a color, line style, gradient, and effect independently

1. Select the shape or shapes you want to change.

2. Right-click the shape and select Format Shape.

   The Format Shape pane opens. 

3. On the  (Fill & Line) tab, select the type of fill, then select a color. 

4. If you want a border on the shape, under Line, select the line type and color. Then select any other options you want such as Transparency, Width, Dash type and Cap type. 

5. To apply an effect (such as Shadow, Reflection, Glow, or 3D appearance, select the  (Effects) tab at the top of the pane, and explore the available options. 

Choose a custom color to apply

You can apply a custom color by specifying a red-green-blue color combination or a hexadecimal color code, or by choosing from the color canvas.

1. Select one or more shapes.

2. Select Home > Fill .

3. Select More Colors > Custom.

4. You can specify a red-green-blue color combination or a hex value for a custom color, or you can choose a color directly from the color map. 

   

5. To select a custom outline color, select Home > Line , then select More Colors.

Apply a color, line style, gradient, and effect independently

1. Select one or more shapes. 

2. Select the Shape tab on the toolbar ribbon. 

3. Select Shape > Shape Fill , then select an option from the gallery that appears. 

   The  Shape Fill menu also has a Transparency option so that you can adjust the opacity of a shape to reveal text or another shape behind it.

4. If you want a border on the shape, select Shape Outline , then select an option from the gallery that appears.

   You can also change the line, weight, dashes, or arrows (if you have selected a connector line).

Choose a custom color to apply

1. Select one or more shapes.

2. To fill the shape with a theme or standard color, select Shape > Shape Fill  > More Fill Colors to define a custom color.

   

3. To apply a custom color to the shape's border, select Shape > Shape Outline  > More Outline Colors.

Notes: 

• If you want to apply the same formatting to all shapes in your drawing, you may want to create and apply a custom theme. To learn more about themes, see Apply a theme to a shape.

• If you would like to add a text box to a shape or change the orientation of the text box within a shape, see Add, edit, move, or rotate text and text blocks.

• You have to select a shape before you can apply text formatting, change the line color, or apply a fill to it. To learn more about how to select a shape, see Select, move, resize, and rotate shapes.

Format text in a shape

You can change the font, character spacing, paragraph spacing and alignment, positioning of a text block, bullets or number, and tab stops of text in a shape.

Add text to a shape	Select the shape on the page and type your text.
Select the text in a shape	Double click the shape that contains the text you want to format.
Format a text block	Select the shape with the text that you want to format. On the Home tab, in the Font and Paragraph groups, select the formatting options that you want.
Copy text formatting from one shape to another	Select the text that you want to copy. On the Home tab, in the Clipboard group, click Format Painter . Click the shape that contains the text that you want to change.
Change the text block background color	Select the shape with the text box that you want to change. Right-click the shape, point to Format, and select Text. In the Text dialog box, on the Text Block tab, under Text background, select Solid color. In the list next to Solid color, select the color that you want. Click Apply and then click OK.
Format symbols and punctuation	Click the File tab. Under Visio, click Options. In the Visio Options dialog box, on the Proofing tab, click AutoCorrect Options. Select or clear any of the automatic formatting options that you want to turn on or off. Click OK.

Change the line of a shape

You can change the line color, line weight, dash type, and transparency of a shape's border.

Change the line color or formatting	Select the shape with the border that you want to format. On the Home tab, in the Shape group, click Line and select the formatting options that you want.
Remove the line from a shape	Select the shape with the border that you want to remove. On the Home tab, in the Shape group, click Line and select No Line.

Apply a new fill to a shape

In Visio 2010, you can change the fill color, the fill pattern, and even add your own fill patterns to a shape.

Change the fill color	Select the shape with the fill that you want to change. On the Home tab, in the Shape group, click Fill and then select the color that you want.
Copy fill formatting from one shape to another	Select shape that has the fill that you want to copy. On the Home tab, in the Clipboard group, click Format Painter . Click the shape that has the fill that you want to change.
Apply a pattern fill	Select the shape with the fill that you want to change. On the Home tab, in the Shape group, click Fill and select Fill Options. In the Fill dialog box, in the Pattern list, select the pattern that you want. In the Pattern color list, select the color that you want. Click Apply and then click OK.
Create a new fill pattern	On the Developer tab, in the Show/Hide group, select Drawing Explorer. In the Drawing Explorer window, right-click Fill Patterns. In the New Pattern dialog box, under Details, type a name for your pattern. Under Behavior, choose an option. Behavior options Create multiple copies of the image to fill a shape (tile the image) Tile multiple images along the line without distorting them. Stretch a single image to fill the shape. To adjust the pattern as the drawing page scale changes, select the Scaled check box. Click OK. In the Drawing Explorer Window, open Line Patterns folder, right-click the new pattern, and then click Edit Pattern Shape. Create the shape or shapes that you want to designate as a pattern. You can create shapes from scratch, change existing shapes, or insert bitmaps. Click the Close Window button, and then click Yes to update the pattern. Note: You will need to have the Developer tab in the Ribbon visible to do this. Show the Developer tab Click the File tab. Under Visio, click Options. In the Visio Options dialog box, on the Customize Ribbon tab, in the Customize Ribbon list, select Main Tabs. Under Main Tabs, select Developer. Click OK.
Remove the fill from a shape	Select the shape with the fill that you want to change. On the Home tab, in the Shape group, click Fill and select No Fill.

Apply a theme to your shapes

When you apply a theme in Visio 2010, you specify the formatting (font, text colors, fill colors, borders, and shadows) of every shape on the drawing page.

The built-in themes apply both color formatting (font color, fill color) and shape effects (border style, shadow) to shapes. You can choose to change only the effects (border, shadow, font, and connector styles) or only the colors (text, line, connector, fill, and shadow colors) of the shapes in your drawing.

Create your own theme	On the Design tab, in the Themes group, click Colors and select Create New Theme Colors. In the New Theme Colors dialog box, under General, in the Name box, type a new name that you want to use for your new theme. Select the colors that you want. Click Apply and then click OK. In the Themes group, click Effects and select Create New Theme Effects. In the New Theme Effects dialog box, under General, in the Name box, type a new name that you want to use for your new theme. Select the font, line, fill, shadow, and connector settings that you want. Click Apply and then click OK.
Remove a theme from a shape	Right-click the shape, point to Format, and select Remove Theme.
